Hostel Admin (Girls’ Hostel)
Position Overview
The Hostel Admin manages daily operations at the girls’ hostel, including front desk duties, inquiry handling, admissions support, and coordination with housekeeping and maintenance teams. The role requires professionalism, strong communication skills, and a resident-first approach while maintaining safety and discipline.
Key Responsibilities
Front Office & Resident Interaction
- Respond to new inquiries received via phone, walk-ins, messages, or online sources.
- Provide complete information on rooms, amenities, fees, and hostel policies.
- Conduct guided tours of the hostel, showcasing rooms and common facilities.
- Assist with the entire admission process—form filling, documentation, room selection, and fee payment.
- Maintain an updated inquiry and admission tracker.
Administrative Duties
- Maintain accurate resident data, ID proofs, agreements, fee details, and occupancy updates.
- Issue fee receipts and update registers/ERP/mis systems.
- Maintain inventory of keys, linen, furniture, and supplies.
- Draft and circulate notices and communication as needed.
- Prepare daily/weekly/monthly reports for management.
Hostel Operations Coordination
- Coordinate with housekeeping to ensure timely cleaning of rooms and common areas.
- Raise maintenance requests and follow up until resolution.
- Support implementation of hostel rules and policies.
- Monitor resident movement as per hostel guidelines.
Safety & Compliance
- Ensure adherence to safety protocols, including CCTV monitoring and visitor verification.
- Maintain late entry logs, incident records, and security reports.
- Immediately escalate emergencies or policy violations to the hostel manager.
Skills & Requirements
- Minimum qualification: Graduate (preferred).
- Experience in hostel operations, admissions, front office, or hospitality is an advantage.
- Strong communication skills (English & local language).
- Computer proficiency (MS Office, email, ERP).
- Well-groomed, polite, organized, and dependable.
- Ability to work calmly in busy or high-pressure situations.
- Open to rotational shifts.
Working Hours
- 9-hour duty with break included.
- Variable shift timings between 7:00 AM and 10:00 PM
- One weekly off (as per roster).
